Managing Team Members

The team members list shows everyone who has access to the active project. From here, Admins can change a member's role, activate or deactivate them, and remove them from the project.

Who can use this?

Admin users only.

Viewing the team list

Go to Projects > Team. The list shows all team members for the active project, sorted by email.

Editing a team member

1. Click Edit next to a team member.

2. Update any of the following:

   - Email — the email address must remain unique within the project.

   - Nickname — the display label for this member.

   - Role — change between Author, Editor, and Admin.

   - Active — toggle whether this member can access the project.

3. Click Save.

Activating and deactivating a team member

A deactivated team member loses access to the project immediately but their record is not deleted:

1. In the team list, click the active/inactive status toggle next to a member.

2. The status changes immediately.

Removing a team member

1. Open the edit form for the team member (click Edit).

2. Click Delete.

3. Confirm the removal.

4. The team member is removed from the project.

A project must always have at least one Admin. If you try to remove the only remaining Admin, you will see: "Cannot remove this user: they are the last administrator of the project." To remove that Admin, first promote another team member to Admin, then remove the original one.

Limits and constraints

You cannot change a team member's email to one that already exists in the same project: "A user with this email already exists in this project."
Removing a team member is immediate. Their access is revoked on the next page load.
Deactivating a member preserves their record (history, articles they authored, etc.) while revoking access.
